Workspaces
Terminology
A Workspace is the primary organizational container in SpendCraft. It is a secure, isolated environment designed to group, manage, and process specific subsets of data, team members, and analytical configurations (Agents, Classifications, Taxonomies) for a particular project, function, or business unit.
🛡️ Core Principles of Workspaces
Workspaces are designed to provide both flexibility and security through three main pillars:
- Data Isolation and Segregation: Workspaces function as independent sandboxes. This prevents configurations and experimental changes made by one team (e.g., Logistics) from interfering with the main operational structure (e.g., Global Procurement).
- Contextual Focus: Workspaces allow teams to load only the relevant datasets, build targeted classification Agents, and link specific Taxonomies needed for their area of focus.
- Role-Based Access: All member access and permissions are defined at the Workspace level, ensuring robust security and governance over sensitive spend data.
🧩 Workspace Components
Each Workspace acts as a self-contained ecosystem housing the following elements:
| Component | Role within the Workspace |
|---|---|
| Datasets | The raw spend data (Invoices, GL, SKU logs) uploaded for analysis. |
| Agents | Custom-trained AI models configured to classify data based on your specific rules. |
| Taxonomies | The hierarchical category structures linked to your classification outputs. |
| Members | The specific users invited to the workspace with assigned roles (Admin, Editor, Viewer). |
🔄 When to Create a New Workspace
To maintain optimal data hygiene, consider creating separate Workspaces for:
- Regional Operations: Managing spend data for specific geographic entities (e.g., APAC vs. North America).
- Functional Domains: Dedicated environments for specialized groups like IT Asset Management or Indirect Sourcing.
- Drafting & Testing: A "Playground" workspace to test new taxonomy structures or Agent logic before deploying to a production environment.
